About the Role:

We’re looking for a highly organized and resourceful Executive Assistant to provide professional, senior-level support for the CEO. This role goes far beyond calendar management; it’s about anticipating needs, coordinating priorities, managing key projects, and helping the CEO stay focused on what matters most.

The ideal candidate is a proactive problem solver with exceptional communication skills and a keen attention to detail. You’ll handle complex, confidential matters with discretion and diplomacy, while working closely with senior leadership, team members, and external partners across the region.

Requirements:

Executive Support

  • Manage the CEO’s calendar, appointments, and travel arrangements with accuracy, discretion, and sound judgment.
  • Anticipate needs and proactively prepare materials, talking points, and reports for meetings and presentations.
  • Conduct research and summarize information to support decision-making and strategic initiatives.
  • Maintain organized systems for tracking projects, files, and follow-ups to keep priorities on track.

  Leadership & Board Relations

  • Serve as liaison between the CEO, Board members, staff, investors, and community partners to ensure timely communication and follow-up.
  • Coordinate Board and Executive Committee meetings—draft agendas, assemble materials, record minutes, and manage logistics. 
  • Support relationship management with Board and stakeholder organizations, ensuring professionalism and responsiveness on behalf of the CEO. 

  Communication & Coordination

  • Draft, proofread, and edit correspondence, reports, and presentations for internal and external audiences.
  • Manage incoming and outgoing communications on behalf of the CEO with professionalism and clarity.
  • Plan and coordinate meetings, events, and conferences related to strategic initiatives and community engagement—handling logistics, RSVPs, and materials while ensuring seamless collaboration between the executive office, senior leadership, and key stakeholders. 
  • Prepare confidential materials and ensure sensitive matters are handled with discretion and sound judgment.

Collaboration & Administrative Support

  • Collaborate with senior management to align administrative support priorities and recommend professional development opportunities that strengthen team performance.
  • Foster collaboration, consistency, and continuous improvement in administrative operations.
Other Responsibilities
  • Lead or assist with special projects as requested by the CEO.
  • Contribute to a positive, collaborative team culture by modeling integrity, initiative, and a solutions-oriented mindset.
What You’ll Bring:

Education
Bachelor’s degree in business, communications, or a related field preferred (equivalent experience considered).

Experience
At least 3 years of experience supporting C-level or senior executives, ideally within a nonprofit, public, or corporate environment.

  • Ability to work both independently and collaboratively, demonstrating initiative and accountability
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with CRM systems a plus
  • Comfortable working in a dynamic, fast-paced environment
  • Knowledge of strategic planning, program coordination, or community engagement preferred
